AulaViva (“AulaViva,” “we,” “us,” or “our”) provides educational software and interactive learning tools for teachers, students, schools, and other authorized users.This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use AulaViva’s platform, websites, applications, and related services. It is designed to support privacy and security obligations that may apply to educational services, including FERPA, COPPA, GDPR/UK GDPR where applicable, U.S. state privacy laws, and the Texas Data Privacy and Security Act where applicable.

Who This Policy Applies To
This policy applies to teachers, schools, districts, students, administrators, parents or guardians interacting with school-authorized accounts, and other users of AulaViva’s services.
In many school-based uses of AulaViva, the school, district, or educator determines how student information is submitted to and used within the service for educational purposes. In those cases, AulaViva generally acts as a service provider to the school or educator for the limited purpose of delivering the requested educational services.
Information We Collect
- Account information: name, email address, account role, organization, class membership, login identifiers, and authentication-related data.
- Educational and classroom information: classes, assignments, submissions, quiz and activity results, scores, teacher feedback, lesson content, uploaded materials, and related instructional records.
- AI and feature inputs: prompts, written responses, activity content, and other inputs submitted to provide AI-assisted features such as feedback, grading support, analysis, or transcription where those features are enabled.
- Audio and media data: audio responses, recordings, uploads, or media metadata where a feature or user action requires them. Some recordings or uploaded media may be stored when a teacher or user intentionally saves, submits, or uploads them.
- Technical and usage information: IP address, browser type, device information, operating system, approximate usage logs, crash data, timestamps, and platform interaction data used for security, troubleshooting, analytics, and service improvement.
- Payment and billing information: subscription, billing, and transaction details needed to manage paid plans. Payment card information is generally processed by third-party payment processors rather than stored directly by AulaViva.
- Communications: messages you send to us, support emails, contact form submissions, business correspondence, and related records.
How We Use Information
- Provide, operate, maintain, and support the AulaViva platform and its features.
- Authenticate users and manage accounts, classes, permissions, and access controls.
- Enable classroom workflows such as assignments, grading, scoring, teacher review, feedback, reports, and instructional insights.
- Provide AI-assisted features, audio processing, transcription, and related functionality when enabled and authorized.
- Use artificial intelligence tools to assist with grading, feedback, transcription, and educational insights. These tools process user-submitted content to generate responses and may not always be accurate.
- Process payments, manage subscriptions, and provide billing-related support.
- Detect, prevent, investigate, and respond to fraud, abuse, misuse, and security incidents.
- Debug, monitor, secure, improve, and develop our services and user experience.
- Communicate service notices, updates, support responses, and account-related messages.
- Comply with legal obligations and enforce our Terms, contracts, and policies.
Data Sharing and International Transfers
AulaViva does not sell personal information of any users, including students or educators, and does not use personal data for targeted advertising. We share information only in limited circumstances, such as the following:
- Service providers and subprocessors: vendors that help us operate the platform, such as hosting, infrastructure, storage, authentication, analytics, email, payments, transcription, or AI-related providers, under appropriate contractual, confidentiality, and security protections.
- Schools, districts, and authorized educators: where access or disclosure is necessary for the educational use of the platform and consistent with user roles, school direction, and applicable law.
- Legal, safety, and compliance purposes: when required by law, regulation, subpoena, court order, or when reasonably necessary to protect rights, safety, security, users, or the integrity of the service.
- Business transfers: in connection with a merger, acquisition, financing, asset sale, bankruptcy, or similar corporate event, subject to applicable law.
AulaViva is based in Texas, United States. Information may be processed in the United States and in other jurisdictions where AulaViva or its service providers operate. Where required by law, we use appropriate safeguards for international data transfers.
Student Data Protection
When AulaViva is used by a school, district, or educator for educational purposes, AulaViva generally uses student information only to provide, maintain, secure, support, and improve the educational services requested, consistent with applicable law, school direction, contractual commitments, and this Privacy Policy.
We do not sell student personal information, do not use student personal information for targeted advertising, and do not knowingly use student personal information for unrelated commercial profiling.
Schools, districts, and educators are responsible for ensuring that they have the rights, permissions, notices, and consents necessary to provide student information to AulaViva and authorize student use where required by law or policy.
When AulaViva is used by or through a school, district, or educator for educational purposes, the school may act as the authorized agent of the parent or guardian and may provide consent for students under the age of 13 to use the Services where permitted by applicable law. In those situations, AulaViva collects and processes student information only to provide and support the educational Services requested by the school or educator.
Your Rights and Controls
- Depending on your relationship to AulaViva and applicable law, you may have the right to request access to, correction of, deletion of, or a copy of certain personal information.
- You may opt out of non-essential marketing communications by using the unsubscribe method in those messages or by contacting us.
- In school-managed accounts, student-data requests may need to be directed through the school, district, or educator that controls the account relationship.
- Where applicable, individuals in the European Economic Area, United Kingdom, and certain other jurisdictions may have rights related to access, rectification, erasure, restriction, portability, and objection.
- Where applicable, residents of certain U.S. states, including California and Texas, may have privacy rights subject to statutory requirements, exceptions, and verification.
- Upon a verified request, we will delete or anonymize personal data unless retention is required for legal, security, operational, or contractual purposes.
Security and Retention
We use administrative, technical, and physical safeguards designed to protect personal information, including measures such as encryption in transit, access controls, account protections, logging, and monitoring as appropriate to the service.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We retain information for as long as reasonably necessary to provide the services, maintain school and teacher records, support legitimate business operations, comply with legal obligations, resolve disputes, enforce agreements, and protect the security and integrity of the platform. Retention periods may vary by data type, account status, school relationship, legal requirements, and operational need.
Children’s Privacy
AulaViva is intended for educational use. We do not knowingly collect personal information directly from children under 13 outside of a school-authorized, educator-authorized, or parent- or guardian-authorized context where such collection is permitted by law.
Where children use AulaViva through a school or educator, the school, educator, parent, or guardian may be responsible for providing any notices or consents required by applicable law. Parents or guardians who believe their child has provided personal information in a manner not authorized by law may contact us.
Cookies and Tracking
AulaViva may use cookies, local storage, session tokens, and similar technologies to keep users signed in, remember preferences, maintain session state, protect against fraud, improve reliability, and understand service performance.
Where required by law, we may provide choices regarding non-essential cookies or similar technologies. Essential technologies may still be required for the service to function properly.
AI and Automated Features
Some AulaViva features may use artificial intelligence, machine learning, transcription, or other automated processing to support grading, feedback, language-learning workflows, summaries, or analysis.
AI-generated feedback and automated grading are provided for educational support purposes only and may not always be accurate. Users should review results before relying on them for grading or instructional decisions.
AI-generated or automated outputs may be incomplete, inaccurate, or inappropriate, and should be reviewed by educators or authorized users before being relied on for important decisions.
When AI-powered features rely on third-party service providers, AulaViva seeks to use those providers in a manner consistent with our contractual, privacy, and legal obligations.
Updates to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or services. When we do, we will post the updated version on this page and update the “Last updated” date above. If required by law, we will provide additional notice.
